What You Will Be Doing:

We are currently seeking a dynamic and highly organized Technical Executive Assistant to join our team. This role will provide comprehensive support to the executive team, combining exceptional technical acumen with administrative expertise to manage complex projects, technical documentation, and executive communications within the railcar industry.

Key Responsibilities:

Technical Documentation Management:

  • Organize and maintain technical documents, including engineering drawings, specifications, and manuals.
  • Coordinate the revision and distribution of technical documentation as necessary.
  • Ensure compliance with industry standards and regulatory requirements.

Project Coordination:

  • Assist in the planning, execution, and tracking of technical projects.
  • Coordinate meetings, prepare agendas, and document meeting minutes.
  • Monitor project timelines and deliverables, ensuring adherence to schedules.

Executive Support:

  • Provide administrative support to the executive team, including calendar management, travel arrangements, and expense reporting.
  • Prepare technical reports, presentations, and correspondence for executive review.
  • Act as a liaison between the executive team and internal/external stakeholders.

Research and Analysis:

  • Research industry trends, competitor activities, and technological advancements.
  • Analyze data and prepare reports to support decision-making processes.

Communication:

  • Facilitate effective communication within the organization and with external partners.
  • Draft and distribute internal communications, memos, and announcements.
  • Serve as a point of contact for technical inquiries and requests.

Continuous Improvement:

  • Identify opportunities for process improvement and efficiency enhancements.
  • Implement best practices for document management, project coordination, and administrative processes.

Required Skills & Experience:

  • Bachelor's degree in Engineering, Business Administration, or related field preferred.
  • Proven experience as an executive assistant or in a similar administrative role, preferably within the railcar or transportation industry.
  • Strong technical background with knowledge of engineering principles and terminology.
  • Proficiency in document management systems and software applications (e.g., Microsoft Office Suite, Adobe Acrobat).
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Exceptional communication and interpersonal abilities.
  • Detail-oriented with a high level of accuracy in work output.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and work independently with minimal supervision.

Pay: $18.90 – $27 /hr.
